OFFICE MANAGER

Position Summary

Responsible for overall office activities, including administrative duties, process management, and community relations. Responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment. Supports members of senior management. Promotes positive public and employee relations.

Essential Responsibilities:

  1. Maintains confidentiality of all privileged information in accordance with established Company Policy, State and Federal regulations. 

  2. Provides next-level guest service to internal and external guests. 

  3. Responsible for creating and fostering an environment of support and motivation for team members.

  4. Supervises and coordinates overall administrative activities for multiple office locations.

  5. Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

  6. Negotiates the purchase/rental of office supplies and furniture and office equipment and oversees internet installation and the billing process for all opening temporary offices, in accordance with company purchasing policies and budgetary restrictions. Responsible for set up and close of temporary offices.

  7. Responsible for arranging internal office moves and providing arrangements for office meetings.

  8. Supervises the maintenance of office equipment, including copier, fax machine, etc.

  9. Responsible for most aspects of phone system, such as; extensions, trees, speed dispatch, and emergency communications.

  10. Develops, implements and maintains fleet management process; including, but not limited to, tracking, assignments and allocations, and the fueling process.

  11. Oversees the vendor relationship with for current and future equipment.

  12. Develops, implements and maintains a process for offsite events for NHG; including, space rental, transportation, billing and any special requests. Arranges internal VIP meetings and conferences.

  13. Develops, implements and maintains radio program; including, but not limited to, programming, inventory, maintenance, and distribution.

  14. Responsible for approving all Company pCard expenses prior to submission to Accounting.

  15. Assists property members of the Senior Management Team with community relations; focus is on law enforcement and fire and rescue. Assists with, or oversees, company participation in charity events in the community.

  16. Responsible for administrative duties such as answering telephone, receiving and screening office visitors, developing an organized filing system, producing letters, statements, narratives and statistical reports, minutes and agendas, purchasing of office supplies and preparing correspondence and reports for signature as requested.

  17. Resolves problems that are within the position's scope of authority and recommends courses of action to resolve problems that are beyond the scope of authority to the position’s supervisor.

  18. Keeps position supervisor informed of relevant activities.

  19. Attend required training sessions offered by the Company.

  20. Perform the duties described in compliance with local laws and regulations.

  21. Take the necessary steps to ensure minors are not allowed to gamble or loiter in gambling areas, drink alcoholic beverages, or purchase tobacco.

  22. Have knowledge of the ordinances, regulations, laws, policies, and procedures relating to the team member’s department.

  23. Have knowledge of the Property’s programs to address problem gaming.

  24. Reviews the work activities of subordinate employees to ensure that work is being performed within the standards established by management.

  25. Take on and manage various projects as assigned in order to aid in achievement of evolving Company goals and objectives.

  26. Report any acts of wrongdoing of which the Team Member may have knowledge.

  27. Other duties as assigned.

Position Qualifications:

  • High School diploma or GED certificate plus five years of related experience, or equivalent combination of education and experience.

  • Required competencies include initiative, leadership, time management, decision-making, communication proficiency and organizational skills.

  • Strong proficiency in Microsoft Office, or equivalent, applications is required.

  • Strong oral and written skills. 

  • Must be able to formulate and communicate ideas and to make independent decisions.

  • Must be able to obtain and maintain all licenses, certifications, and indemnifications requisite to the successful completion of all essential responsibilities.

  • Must meet or exceed all regulatory conditions stipulated for individuals holding this or similar positions.

Work Environment & Physical Demands:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
